Booking Information
Booking Process
The Casa Arts Centre is first and foremost an arts facility. As such, booking priority is given to arts programs and events; business and social events will not be considered for bookings more than three months in advance. Other privileges are afforded to arts groups, such as lower costs.
Review the Casa Facility Rental Guide and complete the Special Event Request form. You can check room availability online at https://casalethbridge.ca/facility-rentals/.
The Operations Manager will review your request and create a contract with a quote. The Operations Manager will either send you a proper contract or will reach out if more details are needed.
YOUR BOOKING IS NOT CONFIRMED UNTIL THE SIGNED CONTRACT AND 50% DEPOSIT IS RECEIVED.
Note that our system will hold your unconfirmed booking as pending for seven days while you review the contract. After seven days the booking will be automatically removed from the schedule.
The 50% deposit is NON-REFUNDABLE. A credit card will also be placed on file with the remaining charges processed seven days before your event. Any additional charges stemming from the event, such as penalties and tablecloths used, will be charged following the event.
If it is noted that your event requires insurance and/or a liquor license, copies must be provided 24hrs before you access the space.
The University of Lethbridge has a grand piano that can also be rented for use in the space. This is a separate agreement with the University, that can be made by contacting music.conservatory@uleth.ca.
Casa reserves the right to refuse any booking.
Price Schedule
Arts Based Booking
- Hourly Rate (4 hr minimum): $25
- Full Day (9am to 9pm): $225
Allied AAC Members receive a 20% discount
Standard Booking
- Hourly Rate (4 hr minimum): $80
- Hourly Rate - Saturday: $90
- Full Day (9am to 9pm): $750
- Full Day (9am to 9pm) - Saturday: $850
Registered Not-for-profits receive a 10% discount
Additional Fees
- Tablecloths (per cloth): $4
- SOCAN/ReSOUND Fees: $45 or $90
- Additional staffing (per hour): $25
- After hours staffing (per hour): $50
Additional fees may be required at the discretion of the Operations Manager
Booking Hours
- Monday through Saturday: 9:00 AM to 9:00 PM
- Sunday: 10:00 AM to 5:00 PM
Terms of Use
Failure to abide by the Terms of Use can result in additional fees being added to the booking.
General Responsibilities
Renters must be respectful of others using the facility. The Community Room is one of many spaces at the facility; doors must remain closed due to noise impacts on other facility users.
All rental activities must be contained within the booked space. Any activity outside the booked space requires the approval of the Operations Manager at the time of booking; late requests for use of Atrium cannot be accommodated.
Additional audio-visual equipment outside of Casa’s offerings is permitted but is the responsibility of the Renter. Renters may contract qualified sound and/or lighting technicians for the duration of their booked event, subject to the approval of the Operations Manager. Renters requesting the use of Casa equipment are encouraged to book a tech-check (free of charge) in advance of their event to ensure that there are no compatibility issues.
Behaviour and Damages
Casa is a gallery space with many exhibition spaces. It is important for Renters to inform their attendees to be mindful of displayed work. If work is determined to be interfered with, the MINIMUM cost to the Renter is $500. If work is damaged, the group will be required to pay the full replacement cost.
Renters are responsible for the behavior of their program or event participants while they are in and around the facility. Damage to property and/or artwork at Casa will be the financial responsibility of the renter. Individuals acting in an inappropriate or belligerent manner will be asked to leave the facility.
Children of renters or event participants are not to be left unsupervised in the facility and must either remain in the booked room or be accompanied by a parent/guardian.
Replacement costs of lost or damaged equipment belonging to Casa will be invoiced to the Renter. Equipment must remain in the booked room.
Casa is not responsible or liable for damage to, or loss of, personal belongings of the renter or their participants in a program or event.
Liquor and Insurance
Events where liquor is served require the renter to carry a minimum of two million dollars ($2,000,000) of General Liability insurance. Both the City of Lethbridge and Casa are to be listed as “additional insured.”
Insurance can be purchased through your personal insurance broker or through the City of Lethbridge’s own online portal at https://lethbridge.instantriskcoverage.com/. The IRC portal rates are calculated on an hourly basis. User groups who have time booked for set up and take down need only provide insurance for the time of their event.
Insurance requirements will be confirmed by Casa staff at the time of booking.
Proof of insurance and a copy of a proper liquor license must be provided to Casa staff before your group can receive access to the requested space.
Food Service
Food service is allowed in the Community Room; the Renter is responsible for ensuring all Alberta Health Services guidelines are being followed for their event.
Note that Casa does not have a commercial kitchen space. All items must be brought directly to the room during the booked times.
Food and drinks must be contained to the room; attendees are not allowed to have food and drinks in the common spaces.
Decorating
Decorations cannot be installed in a manner that damages or alters the walls or flooring in any way.
The use of candles (and other open flames), confetti, tape, and thumbtacks are not permitted.
Casa will not supply tools for decorating; renters are responsible for all required supplies and equipment.
Public art in the Atrium must not be blocked by any tables, pull out banners, etc.
Photography
Photography is permitted within the booked space. Photography outside of the booked space requires the completion of a separate Photography, Video, and Film Booking Form in which an additional fee of $35 applies. Renters are required to follow all conditions associated with a photography contract.
All photography sessions must not impede access for other facility users; walkways and stairwells must always be kept clear. This includes blocking any artwork such as Mirrored Earth.
Cleaning
The Renter is responsible for the general clean-up of the booked space and rooms must be left in accordance with the provided cleaning checklist. Renters that fail to leave the space as indicated in the checklist will receive an additional charge of $200.
Brooms, dustpans and garbage bags can be found in the room’s storage area.
Cancellations
Bookings cancelled more than seven days in advance will receive a 50% refund for the cost of their rental. Bookings cancelled less than seven days in advance will not receive a refund.
Casa reserves the right to cancel a booking at any point due to building closures or health and safety recommendations. Cancellations directed by Casa will receive a complete refund.
Additional Fees
Renters are responsible for all costs associated with their event beyond the base rental rates. These fees, such as additional staffing, will be provided at the time of booking.
Extra costs due to damage or failure to abide by the Terms of Use will be charged to the renter through the on-file credit card.
